Negotiable Receptionist Midrand

Reception Duties:
• Greet and welcome visitors with professionalism and warmth.
• Answer, screen, and direct phone calls to the appropriate personnel. Ensure messages are recorded for all personnel and delivered timeously.
• Manage all social media platforms for the company
• Schedule all appointments for clients and ensure that reminders are sent to clients and confirmations of appointments are in place
• Cash requisition and basic bookkeeping must be done daily.
• Manage the reception area to ensure it is clean, organized, and presentable always.
• Ensure that all clients complete the necessary documentation when visiting the spa and it is filed accordingly.
• Ensure that the company’s security policy is adhered to
• Handle incoming and outgoing mail, packages, and deliveries.
• Managing and documenting all customer complaints

Administrative Support:
• Provide general administrative assistance to various departments as needed.
• Maintain and update company records, databases, and filing systems.
• Schedule and coordinate meetings, appointments, and conference calls.
• Prepare vouchers where necessary for clients
• Assist in the preparation of reports, presentations, and correspondence.
• Order and manage office supplies and inventory.
• Ensure that a monthly report of all office expenses including any expense slips is submitted to management for approval
• Ensure all inventory captured is up to date and an updated report is provided to management monthly or when requested.

Operational Support:
• Ensure office equipment is properly maintained and serviced.
• Liaise with service providers, and building management as needed.
• Assist in onboarding new employees by preparing workstations and arranging necessary materials.
• Coordinate travel arrangements and accommodations for staff and management, if required and when requested
• Keep the work area clean and organized to maintain a safe and efficient working environment.
• Assist with setting up for any special occasions for clients that take place at the spa.
• Any other duties requested by management

Requirements & Qualifications:
Matric
Office Administration
Microsoft Office Word, Excel, Power point, Outlook
Social Media Marketing Training
2 to 3 year experience in the a similar position
High attention to detail
Follow out instructions and processes
Good Communication Skills & must be presentable
Excellent organisational and time management skills
Problem solving skills
Ability to work independently and handle confidential information with discretion
Basic Accounting
Computer Literate
